Speaker Guidelines

Here are some useful resources and guidelines for getting the most out of the virtual conference.

 

 

Virtual Conference FAQs


All speakers are granted complimentary access to the entirety of the event. A registration email will be sent prior to the event that will provide access to our live, virtual event. If you have any registration questions, please send an email to speakers@odsc.com.

The format of your presentation is entirely up to you, you may use PDF, Powerpoint, or a coding environment. You are also welcome to include your own cover slide.

Gotowebinar will be the platform used to present. Please read our detailed installation guidelines and familiarize yourself with the platform and the technical setup. At least one week prior to your presentation, please download the GoToWebinar app and practice on the Free Trial. If you have any questions regarding our webinar platform or our virtual platform, please email speakers@odsc.com to arrange a follow-up orientation.

  1. Please select a room that guarantees privacy and no external noise interruptions. Select a room with adequate lighting for steady visibility with no bright lights and away from windows
  2. Select a room with good acoustics (i.e. no echo feedback). Record on your laptop and playback to test acoustics
  3. Select a room with a strong Wi-Fi, Ethernet cable connection to the internet
  4. Check into the GotoWebinar platform 30-45 minutes prior to the presentation
  5. Test webcam, laptop sound, and presentation slides 30 minutes prior to presentation
  6. During your presentation, you have the option to leave the camera on, or just screen share and audio. It is not mandatory to have your camera on as we understand people are working from home.
  7. Make sure all other phone/laptop sounds are muted outside of those pertinent to your presentation 
  8. Send a message on the Speaker Support slack channel or send an email to the team if you encounter any troubles.

During Presentation

  • During your presentation, you have the option to leave the camera on, or just screen share and audio. It is not mandatory to have your camera on as we understand people are working from home.
  • Be wary of the time of the presentation
  • Please be respectful of the next presenter’s time. A moderator will be in place to ensure a smooth and timely transition between each session. 
  • Be wary of the volume of your voice
  • A moderator will be in place to remind you privately via the chat pane on our GotoWebinar platform if any adjustments are necessary.
  • Be wary of any external interruptions, i.e. disruptions in connectivity
  • In the event of a disconnection, a moderator will stand by to ensure that attendees are informed of any changes.

After Presentation

Make sure that you exit out of the webinar platform.

 

Connectivity

Please select a room with strong Wi-Fi and an Ethernet cable connection to the internet. If you encounter any connection or laptop issues, a visible member of our support staff can be contacted via our Speaker Support Team channel on Slack: Please set up slack as described in our Virtual Conference Guidelines on your laptop and mobile device. The slack channel used for all speaker support will be here. Please click on the link to join the channel. You will be added to the Workspace in advance with the email we have on file. 

The following systems support GoToWebinar. Please note the Linux OS is not compatible with the GoToWebinar app, so we strongly encourage you to not use it to run the presentation.

Yes! At least one week prior to your presentation, please download the GoToWebinar app and practice on the Free Trial. Please also read our detailed installation guidelines and familiarize yourself with the platform, how to screen share, mute, change presenter etc. If you have any questions regarding our webinar platform or our virtual platform, please feel free to email speakers@odsc.com to arrange a follow-up orientation call.

  1. Slack will be the platform we use for our Q&A. A dedicated channel will be created using your session(s) title and your name so you can easily locate and communicate with attendees. We will share your Slack channel link in an email.
  2. You will receive an email invitation to join ODSCVirtual slack workspaces
  3. You can use the following how-to guides to help you download the app on your computer. View guides for Mac, Windows, and Linux.
  4. You’re also encouraged to explore other public slack channels in the workspace to network with other speakers and attendees.

We will be recording the majority of the virtual event and sharing the recording with you. You’re welcome to share the video recording of your session with your community. If you do not want your session recorded please let us know.

ODSC is a community-driven conference with a goal of making data science accessible to all, we share the session recordings with conference attendees and our third-party distributors who help fund the AI for Good Award, Open Source Data Science Contributor Award, and the Open Source Project grants. Please let us know directly if you would like to opt out of this initiative.

We are expecting over 6,500+ attendees across all four days. For each webinar, we open the session on a first-come-first-serve basis. The max. capacity is 500 per webinar.

During the event there will be talks tailored to all levels of attendee experience. Please let us know whether attendees should be at the beginner, intermediate or expert level to get the most out of your session.

During ODSC West, Virtual Conference 2023, we will have at least 12 co-located events going on at all times. We like to offer our attendees a variety of materials. We find this number of topics allows the audience to self-select the talks they attend and bring together attendees and speakers most interested in each topic.

Absolutely NOT. Based on our mission statement “Making Data Science Accessible For All” we strive to create an educational and networking focused event.

Please be aware of unsolicited contact (via phone or email) from scammers (claiming to be from ODSC) who will try to sell conference related services. Please avoid any such communication with a non-ODSC email domain, or a call without being notified by a ODSC team member on a prior basis via email.
